Letting guests join a call via a link 1:25

Available in packages with Office. Talk is included in your WebOké Nextcloud as soon as your package has at least one Office Suite licence. Then everyone in your package can use Talk, even users without their own licence. If you don't have Office, you won't see Talk in the menu. See Which apps are included in my package?.

Want to call someone who doesn't have an account in your Nextcloud, such as a customer, a volunteer or your doctor? Then turn on guest access and send a link. The guest joins via their browser and doesn't need to install anything.

Turning on guest access

  1. Open the conversation and click the three dots at the top. Choose Conversation settings.
  2. Go to Administration.
  3. Under Guest access, turn on the toggle Allow guests to join this conversation via a link (1).
  4. If you want only people with a password to be able to join, also turn on Password protection (2) and enter a password. Send the password separately, for example by text message.
  5. Click Copy link (3) and paste the link into an email or message to your guest.

Tip: the quickest way to create a meeting with a guest link is via the Home page of Talk: click Start meeting now, give the meeting a title and click Create and copy link.

What the guest sees

The guest opens the link in their browser. They see the conversation and enter their name under Enter your name (1). Then they click Submit name and join. They can now chat and join the call. With Edit display name on the right, they can change their name later.

Guests use the browser on their computer or phone. The Talk app on the phone only works with your own account, so a guest simply opens the link in Safari or Chrome on their phone.

Inviting guests by email

You can also type an email address in the search field next to the participants. Talk then sends that person an invitation with their own link. Use Resend invitations under Guest access to send the invitations again. If you have a long list, use Import email participants under Meeting with a CSV file.

Staying safe with guests

  • Anyone with the link can join. So only share it with the people you're expecting.
  • For meetings with people from outside, use a lobby: guests then wait until you open the meeting. See Guests in a Talk meeting with a waiting room (lobby).
  • Turn guest access off again afterwards, or create a new conversation for each meeting.
  • You can remove an unwelcome guest via the three dots next to their name in the participant list. Under Manage bans you can see who you've blocked.
