Chapter 5 · 5.1
Sharing with a user from your own Nextcloud
Watch it in a short video
Do you work with several people in the same Nextcloud package, for example with colleagues (Max) or family members (Family)? Then you can share a file or folder directly with them. They'll see it in their own Files and won't need to open a link.
How to share
- Right-click the file or folder, choose Details and open the Share tab. Quicker: click the person icon with the plus sign in the row.
- Under Internal shares, type part of the person's name (1).
- Click the correct person in the list (2).

- Choose what the other person is allowed to do: View only, Allow editing (1) or Custom permissions. Under Advanced settings (2) you can set, among other things, an expiry date and a note for the recipient.
- Click Save share (3).

The person now appears in the list under Internal shares (1). They'll get a notification in Nextcloud and will find the file or folder in Files and under Shares, see Shared with you: overview, declining and re-sharing.

What can the other person do?
| Permission | What the other person can do |
|---|---|
| View only | Open, read and download. Can't change anything. |
| Allow editing (in the list: Can edit) | Also make changes, and for a folder, also add, rename and delete files. |
| Custom permissions | Choose for each item yourself: read, create, edit, share and delete. |
You can always change the permissions later: in the list, click the permissions under the person's name (for example Can edit) and choose something else.

Stopping a share
Click the three dots next to the person in the list. You'll then see the details of the share. Use Delete share to remove it. The other person loses access immediately. Your own file remains in place.
Tip: can't find someone? Type the full username or the full email address. Someone who's been disabled won't appear. You'll only see the users from your own package. In Nextcloud Free, you don't share with other users directly but via a link, see Creating a public link: viewing, editing, password, expiration date and download limit.
Want to share a folder with a whole group of people at once? Use a team, see Creating teams and sharing a folder with your whole team.
